Introduction
About project management
To explain what is project management (you can read about that on many sites, such as Wikipedia, websites of certification authorities for the European area – IPMA, ISO 10006 does not make any sense here, but it definitely makes sense to inform you what we are good at, when providing these services.
We handle and use standard techniques for project management in individual phases of the project, such as preparation, planning, management and control of project implementation, and subsequently its assessment and conclusion.
INDIVIDUAL PHASES OF THE PROJECT
1. Project preparation
For the phase of Project preparation, we use the technique of determination of the so-called Logical framework of the project, where the objectives, purpose of the project, project outputs and necessary project activities are logically interconnected with the determination of objective indicators, that in the given area, client’s defined objectives, purpose, content, qualitative and quantitative parameters were fulfilled. Further, we mutually with the client define, how to verify the fulfilment of defined project parameters, and at the same time, we do not forget to define external conditions of project implementation for meeting / failing to meet the project objectives.
2. Project planning
Within the phase of Project planning, we prepare and agree with the client: A Project Charter of which content is, apart from the logical framework:
- Framework project timeline
- Project budget/project resources and their management
- Project implementation plan that is based on the framework project timeline (CPM, Gantt method), which includes the preparation of critical path determination map, risk management plan and quality management plan for the project and the plan of project organizing, management and control. The project documentation rules must never be omitted and good project documentation belongs to a good behaviour of each project manager
- Project organizational structure, powers and responsibilities of individual roles/functions within the project organizational structure
- Last but not least, communication plan and communication matrix with full and valid contacts
- Rules of change, delivery and acceptation proceedings
We mutually agree the Charter with the client … and then we go for it…
3. Project implementation
Within the project implementation, we proceed according to the plans, rules and agreements agreed between the client and the supplier/s mentioned in the Project Charter. The activities, which we bear in mind during this phase, are:
- Management of implementation works and subcontracts (e.g. software deliveries)
- Control of progress according to the schedule and budget
- Management of communication between project team members and project surroundings
- Project administration in a form of project documentation management
- Implementation of management and control of the quality and effectiveness of achievement of individual partial objectives
- Testing of project outputs and comparison with the planned values according to the Logical framework of the project
Subsequently, it is followed by the transfer of project results to the so-called Operation or own use of the subject of the project by the client. Here, the subject of the project is implemented to the existing organizational systems and client’s processes, and there is performed the preparation for the last project phase, which is…
4. Project conclusion
Here, the assessment of technological, social and economic impacts of the implemented projects is performed within the assumptions given by the Project Charter. It is followed by the processing of feedback to plan further projects and the determination of project assessment (for example, on monthly, quarter, six-month or annual basis) according to the Logical framework of the project.
This phase includes or may include:
- Transfer of the subject of the project to the stage of complete conclusion or run-down
- There is performed the transfer of resources (e.g. staff or technologies) to other projects
- Processing of the final evaluation and documentation of the experience usable for the preparation and management of subsequent projects
